We are legally registered to work in Ethiopia (Reg. 5164) as National NGO and as INGO in South Sudan (Reg. 4178), Somalia (Reg. NGOD/Moifar0422/022) and Kenya (OP.218/051/22-400/12732); it is also processing its registration in Yemen. We are now looking for an experienced Human Resources Assistant to join our mission-driven organisation.
Job Summary
The Logistics Assistant will report to the Medical Director and is in charge of handling day-to-day fleet management, office management, and general logistics requirements for Puniydo Regional operations.
Duties and responsibilities
- Inspects arriving supplies, reconciles with purchase orders, processes paperwork, reports damages, and monitors discrepancies.
- Ensure incoming products satisfy needed criteria, including packaging, expiry dates, and part/serial/model numbers.
- Issue items in accordance with shop standards, prioritising those nearing expiration dates.
- Ensure safe storage of all store books, including ledgers, releases, waybills, and delivery books.
- Maintain accurate and up-to-date inventory records. That is, bin cards, ledgers, and other paperwork (such as waybills and requests) are correctly filled out. Participate actively in stocktaking when it is due.
- Advises management on improving inventory management systems, eliminating non-usable products, and maintaining inventory and logistics paperwork and files.
- Ensure inventory are accurate. Ensure that the asset registry and inventory are always up to date.
- Assist project teams with delivery planning and provide frequent updates to the Medical Director and Procurement Assistant on supply levels and estimated departure times.
- \tManage customs clearance and arrival of goods, ensuring proper registration on monitoring sheets.
- tManage transportation of equipment and supplies, including loading and uploading, and provide necessary documents (e.g. delivery notes, packing list, insurance). Liaise with suppliers and vendors to ensure timely delivery of products and quick resolution of unanticipated situations.
- Monitor logbooks and fuel consumption weekly; produce monthly fleet report with maintenance cost summary, fuel use, personal miles, and KM analysis, and make suggestions to Medical Director.
- Ensure daily vehicle availability for in-town transport and field trips. On a daily basis, get various vehicles based on customer requests and choose the best vehicle type for the needed transport service.
- Ensure daily and weekly vehicle inspections and timely maintenance.
- Maintain vehicle cleanliness and visibility of organisation stickers.
- Manage yearly car inspections and insurance renewals, as well as handling insurance claims in the event of accidents or mishaps.
- Ensure that the vehicles arrive in excellent condition and that the driver has a valid driver’s licence to offer the needed transportation service, and that the drivers deliver the services as requested. Ensure that periodic repairs and maintenance are performed on each vehicle, and that the vehicles are parked in a safe location.
- Assist in scheduling rental vehicles for material transportation and ensuring drivers have all necessary paperwork, such as delivery orders, credit or cash sales invoices, along with the commodities loaded.
- Report to the Medical Director and oversee fleet coordination and inventory control tasks.
- Coordinated and processed vehicle requests from cluster and regional offices.
- Inspect bought products for quality and quantity, input data into the inventory system, and provide inventory reports for expandable and non-expendable commodities.
- Collaborate with the procurement team to inspect, transport, and distribute all program-procured products and supplies.
- Collect log sheets from drivers and update vehicle data on a monthly basis.
- Ensure seamless office operations by overseeing and supporting administrative responsibilities.
- Manage office supply inventories and arrange orders as needed.
- Ensure proper implementation of office rules and procedures.
- Assist with office layout design, relocation, printer management, and IT infrastructure maintenance.
- Improve process and office management by identifying possibilities and designing new solutions.
- Assist with administrative tasks such as meeting scheduling, calendar management, research, and report creation.
- Supervise guards, shift workers, and office cleaners.
- Performs any extra duties given by the Medical Director.

Qualification / Experience Requirements
- Education: Bachelor’s degree in Business Administration, Logistics Management, or a similar subject.
- Experience: 2 years, 3 years for Diploma.
