Position Description

SOS Children’s Villages Ethiopia is a member of the SOS Children’s Villages International Federation and an international non-governmental organization. In 1974, we began our humanitarian mission in Ethiopia by establishing our first village in Mekelle, Ethiopia’s northernmost region. Since then, we have extended our programs to many places where there are large intervention needs and where we feel we can work in collaboration with all key actors to achieve long-term beneficial results for children and young people.

Today, we have expanded tremendously to address the ongoing issues that Ethiopian children who have lost parental care or are in danger of losing parental care face. Across seven program sites, we work in close coordination with foreign funders, local governments, and community-based groups to ensure that every child grows up with love, respect, and security.

We are looking for a Project Finance and Admin Officer who will be responsible for the project office administration and financial transactions related to the project and tasks, as well as preparing periodic financial statements and reports and keeping the records of the accounts books up to date by the SOS Financial Manual and Procedures and participating in financial closings.

What is your role?

As a Project Finance and Admin Officer, you will be in charge of the following while working with us:

Essential roles and duties:

Handling administrative concerns linked to the project office, such as fleet management, yearly leave management, office security, and cleaning.

Maintains accurate records of employee data, property management, and financial transactions. Maintains a systematically updated record of project personnel and documentation.

  • Maintains accurate records of fixed assets and property.
  • GRR, SIV, and receipt confirmation copies are submitted, and the custodian register is updated.
  • Prepare monthly fixed asset reports (purchase, transfer, and handover reports).
  • Issued from the store report and the custodianship update report.)
  • Conduct property inventory counts for the program on a yearly and semi-annual basis.
  • Coordination of general services such as transportation, property custody and upkeep, and project purchasing.
  • Work closely with security guards to maintain adequate security measures in the project office.
  • Ensures that utilities such as power, water, internet, and telephone lines are correctly servicing the project office and works closely with key parties.
  • Support and advise administrative workers under his/her leadership.
  • Coordination of staff development activities via needs assessment, pre-and post-training assessments, training report drafting, and so on.
  • Examine payment requests for correctness, completeness, compliance, degree of authorization, and invoice clarity.
  • Examine disbursement requests for correctness, paperwork, and legitimacy; make payment to the appropriate vendor from the appropriate project.
  • Accounts should be reviewed regularly to verify that the balances are full and correct.
  • All project office financial transactions must be recorded in the SOS financial system, and all submission deadlines and reporting criteria must be met as specified by the Programme Accountant.
  • Ensure the correctness of accounting records’ supporting documentation.
  • Maintain and organize the accounting filling system;
  • Ensures that advance payments and program location responsibilities (taxes, provident fund, pension, etc.) are settled on schedule.
  • Prepares and transmits monthly electronic and hard copy reports to the SOS Children’s Villages program office financial division, together with supporting paperwork.
  • Ensures that all financial and accounting files and records adhere to the highest professional standards.
  • Prepares payroll and ensures that wages are paid on schedule.
  • Accounts payable and receivable must be followed up on and controlled.
  • Receives original transaction papers, verifies their completeness and accuracy, and forwards them to the immediate supervisor.
  • Participates in inventory taking and asset and stock item control
  • Contributes to the creation of draft financial statements.
  • Assists the Location Finance Manager in the implementation of the organization’s internal control system and financial operations handbook.
  • Provide financial capacity-building assistance/activity to CBOs and CCSCs.
  • Other responsibilities may be assigned by the supervisor.

Child Protection:

Responsible for participating in Child Safeguarding awareness-raising workshops and capacity-building training to prevent and safeguard children and young people from all sorts of abuse, abandonment, exploitation, violence, and prejudice.

Help children and young people understand the CS hazards and protective measures.

Responsible for quickly reporting any CS suspicion, concern, accusation, or event by Child Safeguarding reporting protocols. CS reports should be sent to the program’s CS team and/or the corresponding line manager.

Criteria that must be met

  • Accounting Bachelor’s Degree
  • 3 years of related job experience is required.

Competencies include knowledge, skills, and abilities.

  • Outstanding interpersonal, written, and vocal communication abilities
  • Excellent interpersonal abilities, especially cross-cultural communication awareness.
  • Capability to compile and evaluate financial and other data in a clear and consistent way
  • Ability to organize and manage one’s own work while prioritizing and working under pressure
  • Ability to work appropriately and safely with children or vulnerable persons in line with the SOS CVE Child Protection Policy
  • Accounting software expertise
